Using the Document Library

How to manage documents within Trade for attachment at Header and Line-item levels

This easy to use feature is designed to allow you to collect and manage all of the documents in one place so that you can use and re-use them again and again.


Accessing the Document Library

The document library can be accessed by tapping on the '+' icon in the new Attachments column or by tapping the Add attachments button on the header tab of the document


On the first time of use you will see a blank(ish) library screen, inviting you to upload your first document. You can do this by tapping the blue
Upload new document button along the bottom of the drawer


 

Uploading Documents

Now you can upload your documents. The first thing you must do is choose a Document Type, you can choose the appropriate document type from the list.


Then you can either drag the file into the panel below or search the file system on your computer.

Once you have filled out all the required information, you can tap Save

☢️ Hazardous Materials

💥 Note: For Materials Declaration (MD), Suppliers Declaration of Conformity (SDoC) and Materials Safety Data Sheet (MSDS) you will have the additional option to specify whether the document references an item containing Hazardous Materials

 


 

Previously Attached

One of the features we hope you'll find useful is the Previously Attached section of the document library, This will recognise any specific line-item by its part # and will check to see if any document in the library had been used in the past for that specific item. If it finds a match, it will make some suggestions.. handy eh?


Equipment sections

If you have multiple items within an equipment section and the documents you are attaching are relevant for each line-item then you can use the option to Attach to all lines in the same equipment section button, available by hitting the down arrow next to Attach

 



Questions and Answers

Q. How many documents can I attach?

A. Header attachments supports up to 10 documents, Line-Items supports up to 5 documents

Q. Who else can see the documents that I upload?

A. Each document you upload will be available for others within your company to view and use also, meaning that they won't need to upload the same document.


Q. Can I use this feature for Inventory Hazardous Materials (IHM) purposes ?

A. Yes! When you attach a Materials Declaration (MD) to a line item you will also be required to attach a Supplier Declaration of Compliance (SDoC), and vice versa. If you attach one but not the other you will be prompted to add the other when saving.
