Buyer Permissions & Filtering

How to take more control of the security of your account in Trade

⚠️ NOTE: Must be a Trade Business customer and logged in as an Admin to set buyer permissions.

The following settings allow administrators to enable their users to only see transactions from selected buyer accounts on their list views.

This "Buyer Permissions/Filtering" video shows setting up and using buyer permissions for Trade Business users.


Setting user permissions

The first step to setting buyer permissions is to find the user that you want to make the changes to, these can be found in the Users list within Settings

Select the menu icon to the right of the user and tap Set user permissions

 

This will bring out a drawer to the right, which upon first use will be empty, but from here you can start selecting the buyers you want to assign permissions for. Tap Select Buyers to begin

 

 

You can search for the buyer by their company name or their 5 digit TNID (if known). Tick the box next to each buyer you want to select to filter on, then tap Save.

 

✉️ The user will then receive a notification via email, confirming what companies they have been assigned permissions to access.


They will also then notice that the document lists in Trade will only show transactions from the companies they have permissions to see.



Viewing and Changing Permissions

Should you want to make any changes to the User's buyer permissions, simply go back to the individual in the User lists and tap Set user permissions as you did before

 

From here, you can remove a buyer from the permissions list by tapping the trashcan to the right of the company's name, or, to remove all assigned permissions tap Remove all buyers

✉️ The user will receive an email notification of any changes made to their settings

 



🙋 Questions & Answers 🙋

Q. How do new buyers appear on my list of buyers I want to assign permissions to?A. The list is made from any buyer organisation that you have received a transaction from in the past. Any new buyer will need to be setup by our support team so that they appear in the list of buyers


Q. What happens if a User receives a link or is forwarded an email notification for a transaction that they do not have permissions to see?
A. If someone opens a link to a transaction they are not setup to view, then they will see the below message.

 

 

 

Tapping the Request Access button will send a notification to the company Administrator(s) advising them that the User has requested access for the buyer.

 

They will be directed to the User settings screen, and will have the option to Approve or Ignore the request. This will make the setting change immediately

⚠️Note: The request will be confirmed by the first Admin to respond to the request. Any other admins attempting to confirm the same setting change will be advised that the change has been made
