How to Automatically Cancel Orders with Trade Rules

Ensure timely confirmations and automate your workflow by auto-cancelling orders that have not been confirmed by the due date

It's an all too common occurrence that Suppliers do not confirm orders in a timely fashion, leaving the Buyer without confidence the order will be fulfilled.

With our auto-cancellation rule Buyers can support their order management policies to enforce timely confirmations.

Buyers can take advantage of auto-cancellation without any development required.

How it auto-cancellation works…

When the Buyer specifies a 'confirm by date' in the Purchase Order, if the order is not confirmed (POC / POA) by the Supplier on-time the Order is automatically cancelled.


Suppliers will be notified of the cancellation via email. They will also see the
cancelled status in our Trade Application and will not be able to respond.

Configuration Options

Buyers are able to trigger the cancellation in accordance to their internal policies. When the order has not been confirmed by the confirm by date, the cancellation can trigger…

  1. Immediately

  2. X days afterwards (configurable up to 5 days)

Allowing between 1-2 days before auto-cancelling allows for unintended delays from the Supplier due to high volume periods, staff shortages and similar.


Excluding orders from auto-cancellation

To exclude an order from the auto-cancellation rule, do not enter a confirm by date. The rule will ignore this order and it will not be cancelled automatically.

Syncing up cancelled orders with your system

Without any development

As auto-cancellation is a time based, you can configure the rule to match the scheduled cancelling of orders managed independently in your own system.


With development

If your system does not manage document statuses today, you can use our webhooks to notify you each time the cancellation rule runs and update the status in your own system.
