Onboarding of Buyer Organisations to New Platform

The following details the workflow, however before proceeding with onboarding Buyers to the New Platform the Account Manager should reach out to the buyer to provide context, a helping hand and a friendly face!

 

The members involved in the process are the 🚢 buyer, 🧑‍💼 account manager, 🤗 platform support and 📊 data. The emojis act as the key on who is specifically involved in each step of the process.

  1. [Buyer] Nominate a first admin user for each TNID (can be same across all tenants) and ensure that the trading email for each tenant is valid. (20 seconds) It is important to ensure the buyers have trading emails recorded against their account to ensure CRM data quality standards and not cause impediments to future rollouts of features 🚢 🧑‍💼 🤗

  2. [Buyer] Once nominated, Platform Support will send an invite to the Trading Email to create their user account noting that the nominated admin should be the one to register. (1 minute) Only one invite will be sent per admin user (not per tenant or trading email). The number of email invites will be determined by the number of individual admin users 🚢 🤗

  3. [ShipServ] Once the admin user has set up their user account, Platform Support will then LINK the admin user as the admin to all other tenants they should be the admin for and mark the tenant as onboarded. The user may receive notifications to confirm they have access to tenants once linked but does not have to do anything.

  4. Once the first admin is added, other users (and admins) can also be added. This can be done self-serve or with the support from ShipServ

    1. [Buyer] The admin can navigate to company settings for each tenant and add users themselves. Those users will receive user invites in the usual manner (10 seconds per user) 🚢

    2. [ShipServ] ShipServ can do the heavy lifting and add all users to all tenants on behalf of the Buyer. The Buyer will need to tell ShipServ what the emails are and which TNIDs they should have access to. Those users will receive user invites in the usual manner. 🧑‍💼 🤗

Planned Enhancements to Support The Onboarding Process

First Admin Invite Changes (ETA Week of 23rd Feb 2022)

Currently the first admin invite is limited to be sent to the Trading Email address only. This planned enhancement will allow the first admin to be recorded against the tenant. When the first admin is captured, the first admin invite will be sent to the admins personal work email instead of the Trade email making for a smoother onboarding process.


Video Explainers (1st/2nd week of Feb 2022)

The Product Team will be producing onboarding video explainers (30s-1m long each) that informs Buyers of everything they need to know about onboarding to the New Platform and why…


Buyers Receiving Line Attachments Reporting Central Report

A reporting central report will be created showing which buyers are receiving line item attachments from suppliers, how regularly and which suppliers. This will support Account Managers in pinpointing the Buyers whom are of high priority to onboard before others.
