Messaging and Inbox

The ShipServ Inbox allows buyers and suppliers to communicate about transactions in the platform

💥 The companion "Messaging" feature is coming soon. During the initial early adopter program for Expediting/Order Updates, the Messaging feature is inactive. We will notify all users when Messaging is made available.

 

Messaging and Order Updates are new features allowing Buyers and Suppliers to converse and provide updates through ShipServ (decreasing the number of times you have to look at your email), associating the particular messages directly to a transaction, not to a specific user account.

 

For Buyers who opt-in to the Expediting feature to request Order Updates from suppliers, the Order Update messages shown on the document view will also be incorporated into the Inbox. Suppliers will also see the Order Updates in the Inbox. More information about Expediting/Order Updates can be found in the help article here.

 

The Inbox:

 

  1. When logged in, the new Inbox icon is shown on the upper left corner under the ShipServ Logo. The number of unread Order Update messages is shown in the blue circle on the Inbox icon. As an unread message is read, the unread number will decrease appropriately and the blue dot will disappear.

     

  2. For suppliers only: two values are shown to the right of the magnifying glass icon:

    1. Me (# Unread items) = the number of unread messages related to transactions for which I am the assigned user

    2. All (# Unread items) = the number of unread messages for All transactions

       

  3. Sort the Inbox items by:

    1. Most Recent = Most recent messages on top and oldest at the bottom

    2. Oldest = Oldest messages on top and most recent at the bottom

    3. Unread = Only show the unread messages (note they have the blue "unread" dot on them in the inbox until they have been opened)

    4. [coming soon with Messaging] Attachments = Only show the messages with attachments

       

  4. Search on:

    1. Search for text in the messages such as "Shipped", "On Schedule", "Order Delayed", "Ready to Ship", "Update request", "Update request reminder", "Other", etc.

    2. If you are looking for messages from a particular user, (especially If you are not the "assigned to" user), you can search on their name.

    3. If you are looking for updates or requests from a particular company, you can search on their company name.

    4. Search on text:

      1. search on "Tracking" to view messages containing a "Tracking Number" or

      2. search on exact text in the transaction subject to find messages related to a given transaction

      3. search on exact text in the comment included in a given order update response.

The Open message shows:

  1. The Order Update conversation in the middle column (suppliers have an option to "Provide update now" at the bottom)

  2. The option to export the conversation history to a .txt file

  3. Action to Respond (as supplier) or request a new update (as buyer) as is done in the Order Update drawer.

  4. Go to the full document

  5. Scroll through the transaction header detail drawer or collapse the drawer.

 

Note, messages related to archived transactions are not shown in the Inbox.
